Three steps

How to sort self-employed expenses into SA103 boxes

  1. 1Choose SA103F or SA103SThe full or the short self-employment page of your Self Assessment return.
  2. 2Choose the business statementCSV or Excel. Money in is left out; payments are sorted by keyword.
  3. 3Check every row, then downloadFix the guesses, mark personal spending, and take the totals to your return or accountant.

How to sort self-employed expenses from a bank statement

Download your business account's statement as CSV or Excel and choose it above. Each payment goes into an allowable expense box of the SA103 page you choose, and each box is added up. You check every row, move any that landed in the wrong box, mark personal spending, and download the totals and rows as CSV. The keyword rules follow HMRC's notes: box 20 of SA103F includes fuel, parking, train and taxi fares, box 23 phone, postage, stationery and software, and box 24 advertising and website costs.

What are allowable expenses for the self-employed?

Allowable expenses are the running costs of your business that you deduct to work out your taxable profit; according to GOV.UK they do not include money taken from the business for personal use. Keywords cannot know your business: a fuel payment may be partly private, and some costs are capital spending. The tool does not split business and private use and does not fill the disallowable expenses column of SA103F. Check every figure with HMRC guidance on allowable expenses or an accountant. Guidance only, not tax advice.

Questions

What are allowable expenses for the self-employed?

The running costs of your business that you deduct to work out your taxable profit. GOV.UK says they do not include money taken from the business for personal use.

How do I claim self-employed expenses?

Enter the totals in the expense boxes of the self-employment pages of your Self Assessment return: boxes 17 to 30 on SA103F or 11 to 19 on SA103S. This page adds up a bank statement into those boxes for you to check.

Should I use the full or the short SA103?

The SA103S notes explain who can use the short page. Both forms say that if your annual turnover was below 90,000 pounds you may just put your total expenses in one box (box 31 on the full page, box 20 on the short page).

What about private use and disallowable costs?

Mark purely personal rows as personal and they are left out. The tool does not split a cost between business and private use and does not fill the disallowable expenses column of SA103F (boxes 32 to 46).

Is my statement uploaded?

No. The file is read and sorted in your browser and never leaves your device. The CSV downloads are made there too.

Only have a PDF statement?

The DocFig bank statement converter turns PDF statements, scanned and password-protected ones too, into Excel or CSV with every row checked against the balances. Then open that file here.
